Recruiting Coordinator

Our Opening and Your Responsibilities

The Recruiting Coordinator is responsible for providing support to the Recruiting Team. This includes providing an exceptional candidate experience by coordinating the recruitment process from requisition approval to start date. Duties also include (but are not limited to) coordinating candidate travel, scheduling and coordinating the logistics for pre-employment contingencies and onboarding.

Essential Duties and Responsibilities:
  • Collaborates with recruitment team and posts all position requisitions to agreed-upon sites.
  • Assists with researching recruitment resources and applicable organization memberships for job postings for both.
  • Collaborates with and supports the recruiting team on the achievement of Affirmative Action goals through job postings and continuous research of new resources.
  • Researches, schedules career fairs with appropriate staff as a source to generate qualified applicants.
  • Responsible tracking employee referrals and ensuring that qualifications are met for payment.
  • Schedules interviews & debrief meetings with the hiring team (including the recruiter).
  • Secures candidate travel and lodging.
  • Responsible for creation of all internal and external offer letters and updates to all applicable systems.
  • Administers relocation program when applicable.
  • Distributes and tracks all pre-employment contingencies for new hires. This includes tracking of the background check, drug test, physical and MVR (where applicable) and other pre-employment activities.
  • Coordinate New Hire Orientations virtually
  • Processes invoices that may generate from recruitment, pre-employment or onboarding activity.
  • Assist with Immigration/Visa application process
  • Performs other duties as may be assigned.

What You Need to Succeed

Requirements:
  • A minimum of 2 year's general office experience in a professional Administrative Assistant role. At least 1 year of experience supporting Recruiting or Human Resources activities.
  • High School diploma or equivalent required; Associates degree or some HR courses preferred.
  • Proven PC skills and experience using various software packages are required, i.e. Microsoft Office - Outlook, Word, Excel, PowerPoint.
  • Working knowledge of an applicant tracking system is preferred.
  • Experienced in creating and tracking Human Resources or Recruiting metrics is strongly preferred.
  • Experience and expertise working with HR Systems is a plus.
  • Language/Communication/Interpersonal: Ability to speak, read and write fluent English (Spanish is a plus). Effective oral and written communication skills with ability to clearly and professionally express thoughts and information. Good facilitation and presentation skills.
  • Strong organizational skills, detail oriented excellent follow-through, attention to detail and the ability to multi-task.
  • Continuous improvement approach towards work processes.
  • Must be able to work under pressure and in a team-oriented environment
  • An understanding of human resources principles and practices.
  • Ability to communicate with tact and diplomacy is a must.
  • Proven ability to work with all levels of employees.
  • Required to adhere to high levels of confidentiality and integrity at all times.
  • Ability to work in a very fast-paced environment.
  • Working hours will be from Monday to Friday, 8pm to 5am as this supporting our US team.
