Administration Support & Coordination Officer 80-100% (f/m/d)

Our Opening and Your Responsibilities

Our Digital Business Services (DBS) covers infrastructure, applications, data & reporting, and projects, including SAP Implementations, and delivers digital solutions to support productivity, growth, and customer experience. Today, DBS provides services and solutions for a comprehensive landscape of 38 core system applications, over 2500 servers and over 19,000 End User devices. We are working with several vendors to enhance and supplement our DBS organization. In order to strengthen the relationship and oversight of those vendors, we are looking for a Administration Support & Coordination Officer within the small DBS Vendor Management team. 

The main focus of the position is on key administrative aspects related to the engagement of external providers of IT services and/or products.  The position is located at our global operational headquarters in Greifensee, Zurich. 

In this role, your responsibilities would include: 
  • Support of the contracting process in relation to finalizing contractual sign-off and appropriate filing of live agreements 
  • Administration of central contract repository including updates to master data and renewal tracking
  • Arrangement of and preparation for vendor meetings, workshops, and steering committees
  • Coordination and support in various vendor initiatives/activities, contract renewals, and other vendor activity projects
  • Support in continuous improvement, process documentation, training & compliance related to managing vendor relationships
  • Maintenance of communication platform for guidelines/policy/self-help 
  • Assistance in the preparation for software license audits
  • Support of IT managers in the creation of consulting Statements of Work using standard templates, contract extensions/ change requests in liaison with vendor managers
  • Back-up for budget analyst and creation of supplier purchase requisitions 

What You Need to Succeed

  • Commercial apprenticeship or 1-2 years of related working experience in similar position
  • Strong organization skills and aptitude for multi-tasking
  • High level of proficiency in MS Office (Word, Excel, MS Teams) and SharePoint 
  • Initiative to drive topics on your own, good team player with a critical results-oriented attitude
  • Diligent way of working with excellent attention to detail
  • Very good German and English language skills (written and oral) is a must combined with the ability to work in a global and fast-moving environment (cultural awareness)
