Service Scheduler

Our Opening and Your Responsibilities

The Service Scheduler plans, organizes, leads, and controls the flow of service work through the service department in a professional, efficient, and timely manner.

Essential Duties and Responsibilities include the following:

    Take service calls and emails from customers needing service and create service work orders

    Using information and tools provided, send estimates to customers for performance verification, installation and repair services

    Proactively follow up on open orders, scheduling, and service confirmations

    Scheduling of all Field Service Engineer (FSE) workload

    Assist the FSE's in the field as a point of contact for help with the customer account

    Utilize scheduling tools to maintain FSE schedules and changes

    Efficiently schedule preventative maintenance calls to optimize costs

    Assist FSE and Regional Service Manager (RSM) as requested with management of call assignments, including rescheduling and re-dispatching, to ensure the best response time and customer satisfaction; this includes adherence to any requirements for Service Level Agreements (SLA’s)

    Monitoring of open call load for assigned region

    Assist FSE in assigned region with schedule organization, reassignments/reschedules, communication with customer, and other administrative tasks to support FSE and customers

    Ensure proper FSE scheduling for all trade shows and customer demonstrations

    Work with RSM to ensure that all FSE Training, Vacation and other PTO days are maintained on the master schedule.

    Develop and maintain clear and concise communications with department managers, employees and company customers.

    Present him or herself professionally, which includes speaking clearly, listening carefully, following through with responsibilities and always maintaining a professional attitude and appearance

    Work within a team that supports each other throughout the day to provide and maintain high standards of service for our customers.

    Work all scheduled hours which includes being available to periodically work overtime and/or a different shift in order to meet the 24/7 customer demand

    Participate in the weekend/holiday on-call scheduling rotation

    Perform other duties as assigned

What You Need to Succeed

Knowledge, Skills, Attitude:

    Ability to work independently or with a team.

    Fast learner with ability to adjust quickly to situations that change frequently

    Excellence in organization and time management skills

    Must maintain a positive attitude and enjoy being self-motivated

    Strong multi-tasking skills with the ability to work in several system platforms (ERP, CRM, Specialized Software)

    Highly organized individual

    Ability to problem-solve, and make decisions within established guidelines

Required Skills:

    High School Diploma or equivalent

    Associates Degree or equivalent from two-year college or technical school, or three (3) years related experience, preferred.

    Experience in customer service

    Excellent written and verbal communication skills

    Must be computer literate
